# Getting started

> Sign in and follow the path from student record to statement.

1. Open your organisation's RTOSpot address. Ask your administrator if you do not have it or need an invitation.
2. Enter your **Email** and **Password**, then choose **Sign in**.
3. If this is your first sign-in with an invitation, set your new password using **Set password**.
4. If asked, enter the six-digit RTOSpot code from your authenticator app and choose **Continue**. Complete authenticator setup if prompted.

Use **Forgot your password?** on the sign-in page to reset your password.
If you lose access to your authenticator, ask your administrator for a reset.
Administrators must use two-step sign-in; your organisation may require it for everyone.

## Understand your access

| Role | Everyday access |
| - | - |
| Administrator | Maintain records, users and settings; issue statements; reopen rolls; revoke or restore statements. |
| Enrolment officer | Maintain students, classes and bookings; mark attendance and record results; handle USI verification. Cannot issue statements. |
| Assessor | Maintain students, classes and bookings; mark attendance, record results and issue statements. Cannot manage USI verification. |
| Read only | View staff records without changing them. |
| Trainer | Use the trainer portal for assigned classes and sessions. Result access also requires an assessor assignment. |

A staff member can also have access to the trainer portal when an administrator
links their login to a trainer record. Ask your administrator to check your role
or assignment if you cannot find the work you expect.

## Find your way around

Use **Students** for student records and **Courses** to find courses and their
classes. **Sessions** holds session rolls and **Results** shows work waiting for
assessment decisions. On a phone, open the navigation drawer to reach these areas.

Your profile contains your personal time zone and appearance preferences.
Session dates and times follow the venue's time zone.

## Complete a short course

1. [Find or add the student](https://docs.rtospot.com.au/students.md).
2. [Schedule the class](https://docs.rtospot.com.au/classes.md) for the intended course.
3. [Book the student](https://docs.rtospot.com.au/bookings.md) into that class.
4. [Mark attendance](https://docs.rtospot.com.au/attendance.md) for each session.
5. [Record results](https://docs.rtospot.com.au/results.md) for the units.
6. [Issue a Statement of Attainment](https://docs.rtospot.com.au/certificates.md) once the booking is eligible.

Saving a student or booking does not mean every reporting answer is complete.
Follow the readiness messages on the record. Automatic emails are sent only
when the relevant workflow is switched on by your organisation.
