Administrators and assessors can issue Statements of Attainment. All staff can view and download them. Administrators manage designs and can revoke or restore a statement. This guide covers short-course Statements of Attainment.

Check eligibility

Before issuing, check that:
  • The student is a student record, not a lead, and is not archived.
  • Every current unit attempt is concluded or withdrawn, with at least one unit achieved.
  • The RTO’s required details are complete.
  • The student’s USI is verified, or an eligible exemption is recorded with evidence. A booking whose units are all offshore does not need a USI.
Typing a USI is not verification. Ask an administrator or enrolment officer to handle Needs verified USI. Follow any other blocking reason shown on the booking. A statement lists achieved units; attendance alone is not enough.

Issue one statement

  1. Open the finished booking and find its Statement of Attainment section.
  2. Check the student’s printed name, achieved units and completion date.
  3. Choose Design, where available, and Issue date.
  4. Choose Issue the Statement of Attainment and wait for confirmation.
The issue date cannot be in the future or before completion. Use your RTO’s approved design. The built-in layout does not include Nationally Recognised Training logo or signatory artwork; have an administrator prepare the appropriate design before issuing where these are needed.

Issue a group of statements

Open the course and choose Issue statements. Select the class if needed, then use Ready to issue:
  1. Tick the eligible students.
  2. Choose the design, date and email preference.
  3. Choose Review N statements… and check names, units, numbers and email count.
  4. Choose Issue N statements.
Blocked rows explain what needs attention. Verify USI opens the student’s USI section. If some rows fail, successful statements remain issued and failed rows stay selected. Check those reasons before retrying. Email each student their statement depends on the Certificate issued workflow. If that workflow is off, no email is sent.

Download or verify

Download the PDF from the certificate record or the student’s documents. Issued content is fixed: changing student details or a design later does not change that PDF. A reprint uses the stored issued PDF. Use Public check on the certificate record, or its printed QR link, to check its public verification page.

Replace, revoke or restore

For an incorrect statement, correct the source details first, then open the certificate and choose Issue a replacement. It uses the current booking details. When replacement completes, the earlier certificate is revoked. An administrator can use Delete and revoke with a Reason. The record and history remain, but public verification fails and the PDF is unavailable for download. Restore also requires a reason. A certificate that has been replaced cannot be restored.
